Importing windows from Poland to the US and transporting them seems complicated at first. However, it is a smooth process. Especially if you get help of a window supplier who take on some of the responsibilities.

  • how the safe transportation of your order will proceed step by step,
  • how to save on transportation,
  • to whom you can delegate part of the duties,
  • what you should prepare when receiving the goods.

Transportation of windows from Poland to the US: preparations in Poland

If you’re wondering whether it pays to import European windows to the US, read our article, which gives reasons why you should decide to do so.

Once you have selected and ordered the products, the seller (such as debesto) completes your order within a few weeks. Then he prepares the goods for container loading, and secures and packs them on the appropriate carriers so that they arrive at their destination intact.

It’s time to contact the shipping company, which determines the cost of transportation. Prices are constantly changing, so to estimate your expenses you can go to our price list. With special offers, you can save up double.

The order should be skillfully completed because when ordering a container it is best to fill it fully. This is usually a better option than LCL (less than a container load) transport when goods are packed with so-called general cargo. The windows are put into special crates, and these are placed inside the container.

Much depends on the value of the order, however. To choose the most favorable option, use our price list.

Transportation of windows from Poland to the USA: documents needed for clearance

After packing the goods properly, contact the shipping company. You should provide it with the necessary documents, without which customs clearance is not possible.

These include:

  • commercial invoice (it is worth having a translation in English),
  • packing list (inventory of goods with their net / gross weight),
  • registration documents of the company – importer and exporter (NIP, REGON, EORI, which you will obtain after submitting an application to the Fiscal-Customs Electronic Services Platform),
  • authorization for the customs agency.

However, these are not all the documents needed to transport windows by container. You can read about them in details here. There is a checklist prepared for you with all the necessary documents. The topic is also discussed by Jacek Łyczewski, head of the logistics department, in a special episode on our YT channel.

Professionals such as debesto can help you with transportation preparations. We will do the export customs clearance (in Poland). Your shipment will also be insured for sea transportation all the way to your designated port.

required documents when importing windows from poland to the usa

Ocean trip

The container is transported to the port by rail or truck. The shipping company determines the approximate date on which the container is loaded and the goods set sail. This can take place over a period of several days, as the sailing date depends on the available space on the ship.

If the goods have been properly loaded, the shipowner approves the container as ready for shipment. It takes several days between approval and the container’s departure. The duration of the voyage itself to New York is about 3 weeks. This is the time of the trip itself, not the total travel time from the warehouse in Poland to your destination.

When the container arrives at the port, the shipowner should contact you or your customs agent on the US side directly – debesto recommends a professional you can trust.

What should You keep in mind when receiving goods?

  • Decide whether you want to use an agent recommended by debesto or another (arranged on your own).
  • Take care of the documents you need to give to the agent.
  • Check on the spot if the quantity and quality of the packages is correct.
  • Take photos of the goods in the packages and after opening them in case there are possible damages.

Transportation of windows from Poland to the USA: pickup and delivery in the United States

Since the windows are already in the U.S., you will be responsible for the next steps. What are they?

  • 1. pick up the goods from the port on your own within the prescribed period (usually 48h-72h after the container arrives at the port)
  • 2. paying the customs duty applicable in the US (make sure to check with the customs agent what the applicable rate is)
  • 3. pay taxes applicable in the buyer’s country
  • 4. arranging and paying for transportation from the port to the investment/warehouse site
  • 5. paying port handling costs:
for less-than-container-loaded (LCL – in OSB boxes) transportation, this will be an estimated $100-200 per 1m3 (cubic) of goods

There are two ways to deliver a container:

  • pickup by a shipping company,
  • delivery of goods directly to the investment site.

Collection by the shipping company you must arrange on your own. If you have trouble finding a suitable company, ask your customs agent on the US side. He or she should help you with this, as well as guide you through local customs fees and state-specific tax.

It is important to pick up your goods as soon as possible after unloading them at the port. The penalty for holding the goods at the port for a day can be several hundred dollars. Therefore, contact in advance a shipping company that will deliver the goods directly to the construction site as soon as the goods are unloaded from the ship. You may have to wait up to several days for the ship to unload at the port.

The second way, which is to deliver the goods directly to the project site, is usually a much more expensive option than port-to-port transportation. At debesto, this is more affordable, as we offer transportation up to 300 kilometers from the port for a $2,000 surcharge.

1.What will I gain from working with you?

First of all, you’ll save your TIME. We will do the whole work with ordering doors, windows, gates, and blinds for you. Why should you outsource it to us?
  • You will get products in a quality which was checked by us.
  • You don’t have to worry about meeting the deadline or financial condition of the supplier - we order the production only to verified companies.
  • We’ll find products that suit your needs - it doesn’t matter if that are windows, wooden or aluminum doors, PCV, blinds, or garage doors.
  • One complete transport at a lower price instead of a few different ones will come to the place of investment.
  • You’ll comfortably get everything done with one adviser, one invoice, one transfer, and only one place where you can (if necessary) make a complaint.

2. Does your company produce windows?

We aren’t just a traditional producer. We order the production of doors, windows, gates, and blinds inside of a network of selected and verified suppliers in terms of production punctuality, their financial condition, and the quality of products. We call ourselves the broker on a polish joinery market. We’ll do all of the arduous work with ordering the joinery from Poland for you. Delivery time, payment, installation, warranty

1. What is the delivery time on debesto.com?

The time of order processing is highly dependent on its specification. For example, white PCV windows, standard colors (anthracite on one side) can be ready for pick up or a shipment from 7 working days. The waiting time for nonstandard PCV colors is about 4 weeks depending on the color. The production time of PCV doors is also about 4 weeks. Aluminium doors and windows - from 3 weeks, wooden windows from 6 weeks. Furthermore, the blinds about 2 weeks, garage doors - about 3 weeks, metallic doors from 4 weeks. You’ll find estimated production time next to every product on its subpage.

2. How does the payment look like? Do I have to pay the whole amount immediately?

We suggest two forms of payment: 1. 50% of advance for production of the product and 50% shall be paid before picking up/ sending the goods. 2. 100% payment in advance. This form is much more favorable because we give you an additional 5% discount depending on the group of products.

3. Will I buy the joinery with an installation on debesto.com?

No, on debesto.com we sell only windows, doors, blinds, and gates, which we deliver to every place in the world. The installation of the windows depends on the client. We do not offer installation service because our offer is not directed to the building companies, installers, developers, and realtors that can install the joinery by themselves.

4. If the windows would be installed by a different company, do the products keep the warranty?

Yes, the only condition is installing the product in accordance with the art of assembly and applicable standards in the country of the installation in terms of the warranty.

5. Do the products that I buy have a foreign warranty?

Yes, the only condition is installing the product in accordance with the art of assembly and applicable standards in the country of the installation in terms of the warranty.
